OHF reviews every proposed donation before acceptance. Please do not purchase, ship, or deliver equipment until technical suitability, recipient readiness, costs, and responsibilities have been confirmed in writing.
What to Prepare Before You Offer Equipment
- Manufacturer, model, serial number, manufacture date, and current location.
- Clear photographs, quantity, physical condition, working status, and reason for disposal or donation.
- Service history, calibration or safety records, remaining expected life, and known faults.
- Manuals, software or licence requirements, accessories, consumables, probes, leads, and spare parts included.
- Voltage, frequency, plug, power protection, connectivity, environmental, installation, and space requirements.
- Proposed contribution toward testing, packing, freight, insurance, customs, installation, commissioning, training, maintenance, and disposal.
Items We Cannot Responsibly Accept
OHF may decline equipment that is non-functional, damaged, contaminated, recalled, expired, incomplete, obsolete, unsupported, unsafe, incompatible with local power or infrastructure, impossible to maintain, or more expensive to deploy than an appropriate alternative. Unrequested shipments and items without adequate documentation may also be refused.
Acceptance Is More Than Shipping
A responsible handover may require independent testing, decontamination, export documentation, import or customs review, transport insurance, secure storage, installation, user training, commissioning, preventive maintenance, consumable supply, repair planning, asset registration, and end-of-life disposal. The donor, OHF, technical partners, and intended recipient agree who is responsible for each cost and task before movement begins.
How Decisions Are Made
- The donor submits a complete equipment inquiry with photographs and available records.
- OHF confirms whether there is a relevant need and identifies an appropriate technical and recipient review.
- The review considers safety, condition, compatibility, consumables, training, maintenance, infrastructure, logistics, and total cost.
- If suitable, the parties document acceptance conditions, responsibilities, delivery, installation, training, and handover evidence.
- After deployment, the equipment is recorded and follow-up is proportionate to the agreement and available operational data.
